A version is a snapshot of your chatbot's content, including conversations, passages, logic, scripts, webviews, and notifications, as well as settings and some configurations such as entry points, guardrails, and data source updates. You can deploy newer or older versions of your chatbot as you need. Changes go through a review process before they are published.
You need an administrator or publisher role on your team to publish chatbot versions. See Version permissions.
Not all changes are included in versions. Some changes, like integrations, deleted data sources, and changes to non-primary usages, take effect immediately and don't need to be published. These changes can't be undone by republishing a previous version. When deleting items, check the confirmation for warnings on whether the change is included in versions.
Changes typically not included in versions include:
- The chatbot's general settings
- Integrations
- LLM Connectors
- Deleting data sources or knowledge bases.
New data sources and syncs to data sources must be published. - Test pages
- Platform improvement features such as reviews, transcript reports, insight reports, regression tests, and automated tests.
Review stages
Each version of your chatbot is a set of changes that you have made to the content or settings. Changes to your chatbot are progressed through stages before they are published as a version, to ensure the changes are thoroughly reviewed before going live. There are four stages of chatbot content:
At each stage, each change is displayed as its own entry with:
- An icon indicating the type of change, such as a passage, logic, question, script or setting.
- The name of the content item that has been changed, such as the passage name or script name.
- Who made the change and when.
- The conversation the content item is located in, if applicable.
- Additional icons to add comments, see the change in context, or view the history.
Changes are coded by colour:
- Green: new content or settings to be added to your chatbot.
- Blue: existing content or settings that have been changed since the last published version.
- Red: existing content or settings that will be deleted from your published chatbot.
At each stage, the changes can be progressed to the next stage:
You can also Send changes back to an earlier stage and Publish a previous version. Some changes, such as changes to data sources or to your chatbot's experience settings, go straight to ready to publish and can't be sent back to an earlier stage.
